Inspector Workspace Privacy Policy

This policy covers information used by the Solar Certified Pro LLC inspector workspace and report-payment integration. The website Privacy Policy also covers customer and education services. Independently operated third-party websites have their own policies.
1. Information used by the workspace
We process account and profile details, such as your name, email, phone number, company, license information, and service area; report submissions, client contact details, addresses, photographs, documents, and report status; and payment authorization, saved-method references, masked card details, charge status, transaction identifiers, amounts, and receipts. Authentication and infrastructure providers also process technical information needed to secure and operate the service.
2. Payment details
When live payment setup is available, card details are sent from your browser directly to Intuit for tokenization. SCP receives a payment token and stores the saved-method reference, masked details, and your per-report authorization. The payment integration is designed not to store full card numbers or security codes on SCP's server. Do not send card details, passwords, verification codes, or account secrets by email or chat.
3. How information is used
We use this information to manage inspector accounts and access, prepare and return reports, process authorized report fees, provide receipts, resolve billing issues, send relevant service notifications, and prevent unauthorized use. QuickBooks Payments information is used for the functional payment service for SCP and the applicable inspector.
4. Service providers and access
Payment services are provided by Intuit Payments Inc.; Clerk provides account authentication; and hosting and storage services, including ChatGPT Sites and Cloudflare Workers and R2, support the workspace. Google reCAPTCHA verifies payment setup requests to help prevent fraud, under the Google Privacy Policy and Terms of Service. Communication providers support workspace notifications. These providers process information necessary for their services under their own applicable terms and privacy policies. Authorized SCP owners, report managers, and assigned inspectors have access appropriate to their roles. Information may also be disclosed when required by law or to investigate unauthorized activity.
5. Security and payment connection
The integration uses HTTPS, server-side account permissions, and encrypted storage for payment references, authorizations, and Intuit refresh tokens. Access tokens are kept in encrypted temporary server memory. Diagnostic records are limited to operational identifiers and status information and do not intentionally include payment credentials or raw card data. No security measure guarantees that a service is risk-free. The SCP owner can disconnect the company's QuickBooks Payments authorization; inspectors do not need to connect their own QuickBooks accounts.
6. Retention and requests
We retain information needed to provide the service, maintain report and payment records, resolve disputes, and meet applicable recordkeeping requirements. You may ask to access or correct your account information, close your account, remove your saved payment method, or delete information by emailing info@solarcertifiedpro.com. We may need to verify your identity and retain records required for completed services, outstanding fees, disputes, or legal obligations. Deletion requests do not automatically remove independently retained records held by a payment processor.
7. Cookies and notifications
The workspace and authentication providers use session and security mechanisms to maintain sign-in and protect account access. Intuit connection flows use short-lived secure cookies to verify authorization. Service notifications may relate to onboarding, reports, or billing. Contact SCP to correct your contact information or discuss notification preferences.
